Clerical and Administrative Specialist

Department: Lifemark Center at Skylawn MP Admin
Location: San Mateo, CA

NorthStar Memorial Group is seeking a compassionate, detail-oriented Clerical & Administrative Specialist to join our team at Skylawn Funeral Home in San Mateo, CA. This essential role supports daily operations and helps ensure a seamless, respectful experience for the families we serve.

Our administrative team plays a critical role throughout every stage of the client family journey - from the first call to final arrangements. We are the foundation of support for both client families and our internal team, delivering accuracy, efficiency, and care in every interaction.

Key Responsibilities

  • Manage a high volume of incoming phone calls with professionalism, empathy, and efficiency
  • Schedule appointments and coordinate services for families and staff
  • Maintain and organize master files, including scanning, tracking, duplicating, and updating records in HMIS
  • Review and verify invoices for accuracy and proper coding prior to submission to Accounts Payable
  • Order and manage administrative materials such as brochures, business cards, name badges, and training supplies
  • Provide general administrative support to the funeral home team to ensure smooth daily operations
  • Work independently while meeting deadlines in a fast-paced, service-driven environment

Qualifications

  • 1+ years of administrative or clerical support experience
  • Strong computer proficiency, including Microsoft Office (Word, Excel) and ability to learn new systems (experience with HMIS a plus)
  • Excellent organizational skills and attention to detail
  • Ability to multitask, prioritize, and adapt in a deadline-driven environment
  • Strong verbal and written communication skills
  • Ability to work both independently and collaboratively within a team
  • Valid driver’s license
  • High School Diploma or equivalent

Compensation

  • $22-24/hr.
